If You Use APlay Pro on More Than One Computer, This Is Important

Cloud Sync inside APlay Pro isn’t just file storage. It’s built specifically for churches and ministry workflows.

Step-by-Step: How to Set Up APlay Pro Cloud Sync

Here’s how to set it up correctly.

Step 1: Create Your ChurchApps Account

1. Go to: https://admin.b1.church/
2. Create and Register your church account. (This is completely free)
3. This connects your church to the ChurchApps ecosystem that APlay Pro uses for Cloud Sync.
4. You will become the admin/master account holder.

Step 2: Create a Team

Inside your ChurchApps dashboard:

1. Click the B1 logo in the upper left

2. Select Serving from the dropdown.

3. Click Plans in the upper menu
4. Click Add Ministry
5. Name and Add your ministry (i.e. NextGen)

6. Click Create Serving Team on the right. 

7. Name and Add your team (usually related to the each show editor; i.e. Kids Team).

8. Select your team and Add members to that team.

9. Add yourself first by searching your name and click the plus sign on the right of your name that pops-up below the search.

10. Invite others by:

    1. Searching their name

    2. Click Add a New Person
    3. Add First, Last, and Email then save
    4. Then click the plus sign on the right of their name

    5. Click Send Invite

Important:

Each team has its own cloud backup.

If you have multiple ministries, create separate teams for each. That way the kids ministry computer will sync different files than the computer in adult service.

Step 3: Connect APlay Pro to ChurchApps

1. Open APlay Pro.

2. Go to Settings→ Files → Connect to ChurchApps.

3. Log in with your account.

4. Select the correct team (if you are on multiple teams).

5. This creates your first cloud backup.

To see your sync options on your computer for the next step:

1. Disconnect from ChurchApps
2. Reconnect to ChurchApps

Step 4: Choose the Correct Sync Option (Critical)

Upon your first setup, you will need to disconnect and reconnect from ChurchApps to see the Sync option prompts.

When prompted to sync, you’ll see options.

1. Merge
2. Read-Only

Here’s how to choose:

1. On Your Primary Editing Computer Choose: Merge
   1. This pushes your edits to the cloud.
2. On Your Display Computer Choose: Read Only
   1. This pulls the finalized edits from the cloud.
   2. NOTE: You will still be able to edit shows and projects on this computer, those changes just won't be saved on the cloud.

Step 5: Set Up a Shared Media Folder (Still Required)

Cloud Sync handles:

• Projects
• Shows
• Templates
• Layouts

It does NOT sync large media files like photos, graphics, motion graphic backgrounds, or videos.

For media, we recommend using a shared drive folder. Many churches may already have this setup. If not, we recommend Google Drive as a no-cost alternative.

Media Setup:

1. Create a dedicated Google account for media.
2. Install Google Drive Desktop on all APlay Pro machines.
3. Log into the same account on each computer.
4. Create a folder called “Shared Media.”(You can name it anything that is easy to find for the next step)
5. In APlay Pro:
   Go to Settings → Files → Cloud → Set Media Folder from the dropdown arrow next to your cloud team toggle and point it to that folder.
6. Every computer must point to the exact same media path.
